  • The API needs separate consumer credentials, which may expose more data than the application user can see. Cost-invoice endpoints are unavailable; ordinary invoice endpoints are read-only. Customers or their technical vendors must develop integrations because Projectworks does not provide those development services.

Overview

Build includes time, expenses, resourcing, invoicing and forecasting with Xero and QuickBooks. Scale adds multi-office and multi-currency operations, SSO, 5 custom fields and 5 custom reports. Unleash adds multi-entity operations, purchase orders, revenue recognition, API and Sage Intacct integration. Subscriptions have a base fee for 10 active people and additional 5-person billing bands; people count even if they do not log in. Monthly invoices still require a 12-month commitment. The calculator displays approximate prices, so confirm exact base, band and onboarding fees in a written quote. A 21-day free trial needs no card. CRM and proposals are beta; eInvoicing, the MCP server and Kea agent are marked coming soon. Standard onboarding includes migration and training; consultative onboarding adds process mapping and tailored configuration. The Projectworks data team handles migration with a CSM/CSE review. Bluerock/WorkflowMax data is extracted directly; Harvest or Xero Projects customers supply CSVs; other systems use a provided template. Historical depth is agreed in a decisions form, with no published age limit. Transactions map to budgets, so WIP and relationships require review. A first full load is checked, then replaced with a fresh final dataset at go-live. Confirm service scope and cost in the quote; no universal free migration or guaranteed completion time is established.

  • Read-only calendar events support time entry through OAuth 2.0. Projectworks reads subject, times, recurrence, categories, attendees, location, description and busy status, without creating, editing or deleting events. Event identifiers link to logged time; the subject pre-fills the time-entry comment unless edited. Tokens and linked event data are stored in Azure; the connection can be revoked.
